Opening Full Time 40 hours Grade 007 GCHaS Ped Sleep & Wellness Ctr Schedule 8:30 AM-5 PM Responsibilities **Overview:** The Outpatient Access Specialist will coordinate functions associated with patient information processing for the Pediatric Sleep Lab Call Center and act as a resource to staff performing those functions. Monitor and ensure all functions are completed in an accurate, efficient, and customer friendly manner. Provide a high degree of customer service, register patient arrivals in ePARC and complete insurance pre-authorizations. Patient appointments are booked for follow ups and new patient visits as calls come in and from the work queues. Demonstrates ICARE* values in each of the major responsibilities. **Responsibilities:** Answer phones and triage calls to appropriate provider and in baskets as needed, schedule appointments for the Sleep Lab Center. The Outpatient Access Specialist must possess excellent social skills when dealing with calls and front end. * Maintain Prior authorizations for assigned insurance. Track to ensure patients have prior authorizations for upcoming sleep studies. * Schedule patients referred from the work queue and faxes from outlying pediatric offices on a daily basis. * Track in-baskets and phone call follow up. * Direct mail to appropriate medical provider. Sort and scan faxes and print outs. E-mail to be checked multiple times per shift and responses sent in a timely manner. * Maintain provider schedules and ensure schedules are filled looking ahead to clinics. Make patient reminder calls for day and night appointments 2 days in advance; Call No Show and cancellations for overnight studies; reschedule as needed. Utilize daily schedules in identifying tasks/flow to be carried out with assigned patients/groups. * Explain "MyChart" proxy process and help facilitate the sign up process to patients and families who wish to participate. * Maintains a clean work environment - Cleaning, stocking and preparing exam rooms and set up in the morning for patients by setting out computers, prepping offices for daily patients. Monitor office supply inventory and order and track them accordingly. Maintain the Birthday List for the division. Cross train to cover front desk for check in and check out, cover for lunches and as needed. **Requirements:** High School diploma and 2.5 years related work experience; or an equivalent combination of education and experience. Medical terminology experience preferred. Demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Demonstrate the ICARE values to patient, families and staff. Ability to act as a resource to less experienced staff and work collaboratively in multiple team environments. Accurate data entry into patient health records and EParc required. Proficiency in E-Record, On Base, scanning and EParc required. Master and Daily scheduling expertise a plus. Knowledge of MyChart policy and procedure required. High degree of people skills in dealing directly with patients, clinicians and other personnel. Microsoft Word, Excel and Outlook required. Organizational skills, multi-tasking and the ability to work under pressure required. Must have excellent communication skills. The ability to work well independently and with a team is essential. Must have reliable/ efficient transportation. Must maintain professionalism and confidentiality, exercising discretion and sound judgment. Demonstrates skill in communication involving extramural agencies, offices and medical providers. Demonstrate efficiency in prioritizing assignments, skill in proactively resolving problems and recommending and implementing continuous quality improvements.
