Administrative support for the Tendering Team including document management, completion of Bid Forms and other submittals, and other general administrative duties.
:Support of the Bid Managers to assure achievement of project quality, cost and delivery (QCD) targets.
:Proactively participates as a project team member as necessary to accomplish the goals of the project.
:Support development and completion of Bid Forms and other submittals (example: Organizational charts, resume trackers, meeting minutes, action item trackers, etc...)
:Coordinating and/or conducting preparation of physical proposal documentation
:Attend and take meeting notes of Process required tender Milestones
:Upon project completion all projects will be archived according to Project Document Management Plan.
:Establishes and maintains a common, central document management system(s) for assigned projects.
:Development and maintenance of a central documentation tracking system
:Downloading and filing of all documentation required for tendering a specific opportunity
:Monitoring customer websites to identify and download any updates
:Provides general administrative support as required for the project team. Will act as an assistant to the Project Manager and the entire project team, performing a variety of tasks required to achieve project Quality, Cost and Delivery goals. May include copy/fax services, travel/meeting arrangements.
:Complete portions of, or entire, simple to medium complexity quotes for products and/or services according to written processes
:Complete miscellaneous reports, metrics, slides, communications, updates, etc. related to quotes, if/as requested
:General departmental support as required.
:Provide leadership, training and mentoring to other documentation administrators.
:Process Standardization: Take the lead on recommendations for process improvement
Required Education and Skills:
:Associates Degree and/or equivalent experience
:MS Office Suite including calendar management
:3 : 5 years of experience in document management and administration
