Purpose of Position
The Sales and Branch Administrative Support role is responsible for supporting the efforts of the Branch and specifically the Sales Team. The position will provide administrative and sales support as requested by the Branch. The day:to:day responsibilities will vary from Branch:to:Branch as needs change.
:Provide administrative support to the Branch General Manager and the Sales Team.
:Answer phones. Demonstrate a high level of customer care while maintaining a friendly and professional approach.
:Update customer data in the CRM to include all necessary billing, purchase order, invoice and contact information.
:Update comments area of CRM to include all correspondence and discussions with all parties to create history.
:Monitor upcoming deadlines and update project statuses at the direction of the Branch General Manager or the Sales Team.
:Accurate and timely data entry, filing and processing of verbal and written information. Forward information to other parties.
:Shall become accustomed to all office procedures regarding orders, sales, AP, AR, contracts, reports, equipment logs, etc.
:Anticipates requests and learns how best to support the Sales Team under certain conditions.
:Monitor office supplies and replenish. Balance:out Parts cash box, petty cash and prepare Branch deposits as required.
:Support the Customer at the direction of the Sales Team. Perform tasks ethically and professionally.
:Shall assist in developing and mailing correspondence, answering telephones, retrieving voicemail, read email and filing.
:Will assist in coordinating Territory Sales Managers (TSMs) attendance at trade shows and other marketing events as directed.
:Assists in preparing custom sales marketing literature and quotations for customers. Mail materials to customers as needed.
:Builds strong relationships with customers by responding to their inquiries or addressing sales related concerns about service, delivery, billing, etc.
:Handle difficult situations with tact and diplomacy and escalate unresolved issues immediately to the TSM, Sales and Rental Coordinator or Branch General Manager.
:Maintains a high level of discretion and confidentiality when dealing with customer lists, price lists and other documents reasonably assumed to be of a proprietary nature.
:Practice ethical and professional standards when performing sales related duties at branch.
:Participate in online training as needed.
:Participate in goal setting and performance meetings as needed. Ensure a clean, organized and safe work environment.
:Care for company issued equipment such as office equipment, computers and other job resources.
:Other duties as assigned.
Experience, Education, Skills and Knowledge
:Two to four years experience in Customer Service role serving internal and external customers.
:Experience in industrial, construction or heavy equipment is helpful.
:Able to work under time sensitive conditions, prioritize multiple ongoing projects and manage stress.
:Effective time management skills, multi:tasking ability, attention to details and accuracy.
:Must have excellent writing, reading, proofreading and comprehension skills. Professional communication skills.
:Ability to use software applications such as Microsoft Office and Internet functions.
:Work flexible hours as well as work in various demanding environmental conditions. Willing to cross train as neededpany Description:/h3:
