Job Summary: The Administrative Support Specialist will provide overall administrative support for the Medical Office team. The role will float on an as needed basis in the areas of: Medical Secretary Triage team, Front Desk Secretary team, Business Office team and Practice Administrative Team. Essential Job Functions: As a member of the Front Desk team: Greet patients Collect co-pays Verify patient demographic, insurance, and HIPAA information As a member of the Triage Secretary Team: Backup triage secretaries as needed: Answer incoming calls in a timely and professional manner. Schedule appointments Listen and respond to caller's needs for guidance and information. Complete triage communication to Providers for follow up. Obtain necessary medical information regarding potential from the caller to communicate to the nursing triage team. Place outbound calls to patients/families following Provider instructions. Relay information to appropriate Practice team members. Place and document follow up calls to patients/families for missed appointments As a member of the Business Office Team: Maintain provider's curriculum vitae and credentialing status with payers and hospital systems Provide back-up coverage for scanning and routing medical records Provide assistance with medical records transfer requests Act as primary resource for charge entry As a member of the Practice Administrative Team: Provide administrative support for the Practice Administrator including: project assistance, Practice gathering assistance (booking venue, catering, coordinating communications and RSVPs), calendar maintenance, other projects as assigned Provide administrative support for PCMH (Primary Care Medical Home) and other best practice weekly and monthly report follow up including call backs on patients with outstanding follow up appointments, referrals or labs. Participate in monthly Office Meetings as needed including scheduling follow up assistance, set up and break down and meeting minutes transcription Essential Competencies: Carry out these duties in a responsible professional and ethical manner; upholding the mission and values of the Practice Participate in departmental and Practice-wide staff meetings and other training in-service as assigned. Demonstrate awareness of Practice mission, organizational goals, values, policies and procedures; work effectively across departmental boundaries, represent the Practice in professional manner Requires the ability to relate to people of diverse backgrounds, cultures, races, sexual orientations and gender identities or expressions. Skills and Abilities: Ability to manage a number of concurrent tasks using strong organizational focus to prioritize and resource independently Ability to adapt to changing schedules and assignments based on the needs of the practice Skill in computer programs, spreadsheets and applications. Analytical and problem solving skills. Skill in typing 40 wpm. Skill of persistence is needed when necessary. Ability to examine documents for accuracy and completeness. Ability to read, understand and follow oral and written instruction. Ability to communicate effectively and work with others. Knowledge of medical terminology Knowledge of grammar, spelling, and punctuation. Knowledge: Medical Terminology, Microsoft Office, Medent Education and Experience: Previous medical office experience with clear understanding of workflow and administrative support. Experience with Medent system strongly preferred Physical Requirements: Ability to sit for extended periods of time. Manual dexterity for using an adding machine/calculator and computer keyboard. Ability to stoop and bend. Ability to read data on the computer monitor and written documents.
