* Answers multi-line phone for Corporate Headquarters providing direction and assistance. * Screens and announces all calls for the CEO. * Receives visitors and vendors for Senior Management on the 4th floor. * Answers the main company phone lines, providing assistance, direction and screening for the appropriate office or department as well as screens and announces all calls for the CEO while providing excellent customer service. * Provides training for backup up receptionists and guards to ensure customer service expectations are met at all times. Maintains and provides the corporate phone list and reception procedures on a monthly basis to necessary personnel (Guards, Senior Management, Assistants and Training Department) to ensure necessary tools are up-to-date. * Maintains positive working relationships with the Director of Security, the Operations Client Concern Group and the receptionists at University Park, Webster, National Sales and the Rochester Branch to ensure smooth operations and excellent customer service are provided to all our clients (both internal and external). * Updates a hard copy of company directory on a monthly basis including researching any personnel, office or departmental changes so that accurate information is maintained and calls can be handled efficiently and quickly. * Sends electronic acknowledgement receipts for Position Rate Change Forms to managers/supervisors to ensure they receive notification that HR has received the Position Rate Change Form where appropriate. Sorts and prepares documents for filing for HR Data Management Group. * Assists the Human Resources Department and Executive Assistants with special projects and large mailings. * Deals with stressful situations involving Paychex employees, clients, vendors and the general public all while relaying information efficiently and exercising tack to maintain good public relations. * Performs other clerical duties as assigned.
