Opening Full Time 40 hours Grade 009 SON Staff/Research Programs Schedule 8:30 AM-5 PM Responsibilities Summary: Under the general direction of the Administrator as to policies and priorities serves as primary support for a diverse group of tenure track faculty and postdoctoral fellows in the Center for Research Support. Manages general office and related administrative services with considerable latitude for independent judgment; ensures a smooth flow of daily operations by proactively anticipating needs of research faculty; provides general special project support for research faculty and postdoctoral fellows; evaluates and makes recommendations for improvement to the Administrator regarding administrative support processes and procedures, and related duties. Responsibilities: Serves as primary administrative support for approximately 18 diverse tenure track faculty and postdoctoral fellows. Support includes but is not limited to: * calendar support * purchasing requested materials (such as (books/software/general office)(5%), processing request for equipment in coordination with the IT staff, independently facilitating on-site conference and meeting arrangements, * managing routine and non-routine document preparation, * handling travel and conference arrangements (domestic and international), and managing expense report submissions and any necessary follow-up. Provides support for research collection (article searches), referencing management (eg, RefWorks, End Note), and creation of bibliographies for unrelated grant proposal activities. Responsible for editing, proofreading, manuscript management and dissemination support. Utilizes advanced word processing and graphic skills in preparing various administrative documents and presentations (ie, handouts, PowerPoint formatting, compilation, and posters). Administrative support for the BioBehavioral interview rooms and Labs (BioBehavioral and Cardiovascular) such as: registration of study users, oversight of room management, inventory of equipment, lending of equipment , repair of equipment and routine orders of supplies Support for INSHHR group members with various administrative tasks (scheduling meetings, booking rooms, finding and researching information, travel plans and reimbursement, copying, formatting manuscripts and bibliographies) General Administrative/Financial duties for the Center for Research Support: coordinates copy card requests/destruction, maintains the annual research faculty travel spreadsheet, maintains SOLO authorization spreadsheet (supply vendor registration), handles phone issues and records, orders supplies from vendors, arranges monthly staff meetings, and ad hoc tasks as requested. Financial support provided: * FAO distribution of reports and tracking of Pl signatures * Preparation of standard PO, RFP and all other forms as requested by the financial team * Financial Management Database; individual must acquire a solid understanding of the grant management system being utilize for the tracking of expenditures; individual will need to use their judgement to make decisions regarding potential problem expenses and bring them to the attention of the Staff or Sr. Accountant to determine resolution of the problem. This tasks includes * Encumbering of all non-salary expenses * Tracking of material receipts and filing of associated paperwork; following up on outstanding items * Creation of files for newly funded project Requirements: 2 years of post-high school education and 3 years of secretarial or administrative experience with at least 1 year of demonstrated ability to work with minimal supervision.
